The National Democratic Institute’s (NDI) Ukraine office invites all qualified candidates to apply for a Senior Program Assistant position in a dynamic, fast-paced organization that aims to strengthen and expand democracy in Ukraine. The senior program assistant would provide programmatic, administrative and logistical support to a program that seeks to promote greater women’s political participation and leadership.
Duties and Responsibilities:
General Programmatic Work
- In close conjunction with the program manager provide general assistance to all program operations;
- Assist in developing programs’ strategic planning documents such as work plans and evaluation plans;
- Maintain regular working contacts with NDI’s program partners among Ukrainian NGOs, government institutions and other stakeholders representing the programs as appropriate;
- Provide the country director and program manager with regular updates on program implementation;
- Represent NDI at the meetings and other events with the partners;
- Coordinate organization of NDI expert visits to Ukraine and their activities with regard to program implementation;
- Contribute to preparation of program reports by providing necessary information on the programs’ activities;
- Translate program materials into English/Ukrainian/Russian as needed;
- Maintain programs’ data bases.
Administrative Support
- Assist with and provide back-up for the day-to-day operations of the program, including answering telephones, screening calls, responding to routine program inquiries, ensuring prompt and accurate forwarding of messages;
- Produce error-free letters, agendas, borchures, memos and other documents as required; proofread and edit all documents for accuracy;
- Perform computer-related duties (mail merges using Microsoft Word, Access and/or Excel; tables; graphics; forms; labels; envelopes; etc.) as needed;
- Maintain routine paper and electronic filing of the program documents; ensure all files, mailing lists and other related records are accurate, up-to-date and well maintained.
Planning, logistics and event coordination
- Assist in organization of program events and outreach activities (seminars, conferences, consultations, round tables);
- Support the programs logistically, including renting the facilities, booking accommodation and meals, arranging travel, and compiling training materials;
- Prepare required financial reports of program events in accordance with NDI’s financial policies;
- Ensure the expenditures on program activities are congruent with the budget the policies.
Qualifications
- Bachelor Degree in Political Science, Public Administration, International Relations on related subject;
- Minimum of 2 years relevant work experience with non-governmental organizations, legislatures or political parties;
- Good knowledge of Ukrainian politics, its main actors, and processes is a plus;
- Experience in the field or good knowledge of gender problems is a plus;
- Experience in assisting grant management is a plus;
- Nonpartisan background and demonstrated ability to work effectively with senior political and civic leaders;
- Excellent interpersonal and communication skills;
- Excellent organizational skills, discipline and ability to solve problems;
- English proficiency, written and oral translation experience;
- Ability to travel intensively throughout Ukraine;
- Working knowledge of PC-based word processing and e-mail technologies;
- Ukrainian fluency, Russian language ability desirable.
