Job description “Monitoring + Finance Coordinator”
Volkshilfe, founded in 1947, is a large non-profit, politically independent, non-denominational NGO based in Austria. Together with local and international partner organisations, we provide humanitarian aid in acute crises or disasters. Volkshilfe is looking for a “Monitoring and Finance Coordinator”, who will be based in Kiev with travels to project sites across the country and to Moldova. We seek to hire starting Mid-November/December 2024. This position is part-time: 20 h per week.
Your tasks:
Work with Ukrainian partner NGOs:
Support Volkshilfe head office in Vienna in:
- Selection (e.g. due diligence analysis) of new partner NGOs and in preparation of new project budgets
- Onboarding of new partner NGOs (incl. advising the partner NGOs on Financial Policy of Volkshilfe and donor requirements)
- Monitoring and analysis of the quarterly financial reports (from partner NGO to Volkshilfe) and other supporting documents of partner NGOs for running projects
- Organising, preparing and participating in frequent financial audits of partner NGOs
Work with Ukrainian partner NGOs:
- Capacity building on financial management and bookkeeping for Partner NGOs
- Regular inspection of partner NGOs books and guidance in order to ensure full compliance
- Screening of partner NGOs monthly statements, receipts, balances and reporting the findings to Volkshilfe Head Office
- Regular meetings with partner NGOs on financial matters (incl. visits to project sites)
- Meeting and liaising with all project staff members
General tasks:
- Support the Ukraine programme manager at head office in finalizing project proposals and budgets as well as reporting documents at partner level
- Support head office in preparing donor reports and proposals
- Assist head office in preparing and organizing visits to the Ukraine
- Any other tasks assigned by the programme manager Ukraine at head office.
YOUR PROFILE
- University degree in Finance, Accounting, Economics, or similar subjects
- Minimum 3 years of work experience as Finance Officer in the non-profit sector in Ukraine
- Experience in working with Ukrainian NGOs
- Advanced competencies in using accounting software and MS Excel, proficiency in MS Office 365
- Impeccable finance ethics with a strong donor compliance attitude and distinct ability to manage confidential data
- Excellent analytical and numerical skills
- Proven track record in managing public funds and donations, e.g. from international donors
- Fluency in Ukrainian and English both written and verbal; German is an asset
- Excellent communication and problem-solving skills
- Ability to work under pressure and independently
- Readiness for regular field trips
